Appointment no-show

An appointment no-show is a customer who reserved a time and did not arrive, and did not cancel soon enough for you to fill the chair, the bay, or the visit. For a salon, a barber, a groomer, or a trainer, that empty slot is the whole loss. The hour cannot be resold once it has passed. For a contractor, a missed sales visit wastes a drive, which is painful and different: the crew's day was not built around that one chair.

The useful response is decided before the day, not in the moment. A reminder the day before, with a simple way to say they cannot make it, prevents more no-shows than a penalty announced afterward. Say what the time is, where to come, and how to move it. People forget. A text they can answer with "cancel" saves the slot for someone on a waitlist.

Appointment businesses sometimes take a deposit to hold the time, or a cancellation window, because the slot is the product. That policy belongs in the confirmation, in plain language, before they book. Surprising someone at the door creates a review you will not enjoy. The glossary page on booking deposits covers that choice. It is a fit for shops that sell time on a calendar. It is a poor fit for an emergency plumber, whose customer did not book a chair.

After a no-show, one message is enough: we held the time, here is how to rebook, and then stop. Chasing them reads as scolding. Mark the visit on the customer record so the next person who answers the phone knows what happened. Puffly's calendar and booking pages are for businesses that take appointments. The lead list still matters, because a no-show is a customer you might want back, not a stranger who vanished.

Track how many confirmed visits fail to appear. If the number is high, the reminder is late or the confirmation never asked them to commit. Fix the message before you invent a stricter rule.
